Privacy Policy

Replofy AI Inc. ("Replofy", "we", "us", or "our") is the owner of replofy.co and the controller for the personal data described in this Privacy Policy. Replofy provides an AI-assisted customer support platform, documentation, private-access application flows, and related business services.

This policy applies when Replofy determines why and how personal data is processed, including website use, private-access requests, direct communications, workspace administration, security, and billing. It does not replace the privacy notice of a Replofy customer that uses the platform to support its own customers.

Privacy questions and requests may be sent to support@replofy.co. To protect personal data, Replofy may ask for information reasonably necessary to verify the requester's identity and authority.

Replofy processes personal data using computers, cloud infrastructure, and organizational procedures designed for the purposes described in this policy. Access is limited according to role and operational need. Replofy uses measures intended to protect data against unauthorized access, disclosure, alteration, loss, or destruction.

Depending on the processing activity, data may be accessible to authorized personnel involved in administration, sales, customer support, finance, legal, security, and system operations, and to service providers that support hosting, communications, AI, retrieval, integrations, billing, security, and professional advice.

Data may be processed in the United States and other countries where Replofy or its providers operate. Where applicable law requires a transfer mechanism, Replofy uses recognized safeguards such as adequacy decisions, standard contractual clauses, and supplementary measures appropriate to the transfer.

Replofy does not sell customer support content. Personal data may be disclosed only as reasonably necessary to providers supporting managed infrastructure, authentication, storage, communications, AI and retrieval, customer-selected integrations, content ingestion, billing, security, analytics permitted by the user, and professional services.

Replofy may also disclose relevant data to advisers, auditors, insurers, regulators, courts, law enforcement, or other authorities when required by law or reasonably necessary to protect rights, investigate misuse, respond to a security event, or manage a dispute.

If Replofy is involved in a merger, acquisition, financing, reorganization, sale of assets, or similar transaction, relevant data may be disclosed subject to appropriate confidentiality and legal protections.

Subject to applicable law and any relevant conditions or exemptions, individuals may request access to their personal data, correction of inaccurate data, deletion, restriction of processing, data portability, or information about processing and international-transfer safeguards. They may also object to processing based on legitimate interests.

Consent may be withdrawn at any time without affecting processing carried out before withdrawal. Individuals have the right to object to direct marketing at any time and without giving a reason. Replofy will stop using the affected data for direct marketing after a valid objection or opt-out.

Requests may be sent to support@replofy.co. Requests are generally free of charge and will be answered without undue delay and normally within one month. Where permitted by law, this period may be extended by two further months for complex or numerous requests, with notice of the extension.

Individuals may lodge a complaint with the data protection authority where they live, work, or believe an infringement occurred. If Replofy processes the relevant data solely on behalf of a customer, Replofy may direct the request to that customer and assist the customer as required by the applicable agreement.

For operation, maintenance, and security, Replofy and its providers may generate system logs recording requests, status codes, device or browser information, IP address, timestamps, errors, and interactions with the website or service.

Personal data may be used in court or in stages leading to legal action arising from misuse of the website or service, breach of an agreement, non-payment, a security incident, or another dispute. Replofy may be required to disclose data in response to a lawful request from a public authority.
